1. Who this policy covers
This Privacy Policy applies to SchoolPal, including its web administration tools, parent application, and related services (collectively, the Service). SchoolPal is developed and operated by Cipher Fusion Inc. for schools and their authorized users.
2. The school’s role
Each school that uses SchoolPal decides why and how student, parent or guardian, employee, and school operational information is collected and used. In that relationship, the school is generally responsible for the information it places in SchoolPal. Cipher Fusion provides and supports the platform on the school’s behalf.
3. Information processed through SchoolPal
Depending on the features enabled by a school, SchoolPal may process account and contact details; student and guardian relationships; enrollment and academic records; attendance; billing, assessment, and payment records; school announcements and calendar information; uploaded documents; and device or notification-token information used to deliver requested app notifications.
4. How information is used
Information is used to provide, secure, maintain, and improve the Service; authenticate authorized users; display school information to the appropriate user; process the workflows requested by the school; communicate school updates; respond to support requests; and meet applicable legal or regulatory obligations. Cipher Fusion does not sell personal information or use student information for advertising.
5. Access and sharing
Access is limited according to the permissions assigned by the school. For example, parents or guardians can access only the student information linked to their authorized account. Information may be shared with service providers that help operate the Service, where necessary and subject to appropriate safeguards, or where disclosure is required by law. We do not share personal information with third parties for their independent marketing purposes.
6. Security
We use reasonable administrative, technical, and organizational measures designed to protect information in SchoolPal. These include access controls, authentication, role-based permissions, and school-aware data separation. No method of electronic storage or transmission is completely secure; schools and users should also protect their credentials and report suspected unauthorized access promptly.
7. Retention and deletion
School information is retained for the period directed by the school and as needed to provide the Service, resolve disputes, enforce agreements, or comply with legal obligations. Requests to correct, export, or delete school records should ordinarily be directed to the school, which controls those records. Cipher Fusion will assist schools where required by our agreement or applicable law.
8. Children’s information
SchoolPal is provided to schools and authorized parents or guardians; it is not intended for children to create independent accounts. Schools are responsible for obtaining any notices, permissions, or consents required for student information they collect and place in SchoolPal.
9. Your choices and requests
Parents, guardians, students, and staff should contact their school first for questions about their account or records. You may also contact Cipher Fusion for questions about this policy or our handling of information as a service provider.
10. Changes to this policy
We may update this policy as SchoolPal evolves or as legal requirements change. The current version will be posted on this page with an updated effective date.
